Terms & Conditions and Refund Policy
“Move to Clarity” Retreat — Al Badayer Retreat, Sharjah, UAE — 13–15 November 2026

These Terms & Conditions and Refund Policy (“Terms”) govern the booking, payment, and participation of any individual (“Participant,” “you”) in retreats and programs organized by Move to Clarity (“Move to Clarity,” “we,” “us,” “our”), including the retreat scheduled for 13–15 November 2026 at Al Badayer Retreat, Sharjah, United Arab Emirates (the “Retreat” or “Program”). By submitting a booking form and/or payment, you confirm that you have read, understood, and agree to be bound by these Terms.
1. The Program
The Retreat is a fixed-capacity, small-group program with the following key details:
• Dates: Friday 13 November – Sunday 15 November 2026 (2 nights, 3 days).
• Venue: Al Badayer Retreat, Al Madam Road, Sharjah, United Arab Emirates.
• Capacity: The Program is limited to 9 rooms in total (5 Deluxe Twin rooms on double occupancy and 4 Deluxe King rooms on single occupancy), for a maximum of approximately 14 participants, subject to final room allocation.
• The Program fee includes accommodation, full board (breakfast, lunch and dinner) and the retreat program/facilitation as described on move2clarity.com at the time of booking. It does not include flights, airport transfers, personal expenses, travel insurance, or optional add-ons unless explicitly stated in writing.
2. Eligibility & Booking
• Participants must be 18 years of age or older.
• A booking is only confirmed once Move to Clarity has received (a) a completed registration form and (b) full payment of the Program fee, and has issued written confirmation.
• A complete rooming list (full legal name as per passport/Emirates ID, and any dietary or medical requirements) must be submitted no later than 7 days before the Retreat start date. If this deadline is missed, Move to Clarity may be unable to guarantee your requested room type, occupancy, or dietary/medical arrangements. This risk sits with the Participant and does not, on its own, entitle the Participant to a refund or credit under Sections 6 or 7.
3. Program Fee & Payment
The full Program fee is payable in one instalment at the time of booking, in order to secure your place. No place is held or guaranteed until payment has been received in full and confirmed in writing by Move to Clarity.
All fees are quoted in AED and are inclusive of 5% UAE VAT, unless otherwise agreed in writing. Fees are payable in AED (or the currency stated on move2clarity.com at checkout).
4. Minimum Enrollment — Program Confirmation Condition
Because Move to Clarity's own group contract with Al Badayer Retreat requires all 9 rooms to be paid for in full 21 days before arrival, the Retreat can only go ahead if all 9 rooms have been booked and paid for in full no later than 21 days before the Retreat start date (the “Confirmation Deadline”). For the 13 November 2026 Retreat, the Confirmation Deadline is 23 October 2026.
If, by the Confirmation Deadline, fewer than 9 rooms have been booked and paid in full, Move to Clarity reserves the right to cancel the Retreat in its entirety. Move to Clarity will notify all registered Participants in writing as soon as reasonably possible, and in any event no later than 2 business days after the Confirmation Deadline. In these Terms, “business days” means Monday through Friday, in line with the standard working week in the United Arab Emirates, and excludes UAE public holidays.
Section 5 below sets out what happens to payments already made if the Retreat is cancelled under this Section.
5. Refund Policy — Summary
The table below summarizes how refunds are handled depending on who cancels and when. Full detail follows in Sections 6 and 7.

Move to Clarity does not offer credit notes, program credits, or the option to roll payment over to a future retreat under any of the scenarios above. Refunds, where applicable, are paid in cash to the original payment method.
Refund method & cross-border payments
Where a refund is due, it will be issued to the same payment method, and in the same currency, used for the original payment. Where a refund involves an international bank transfer or card refund, any bank charges, card scheme fees, or currency conversion costs applied by the Participant's own bank or payment provider are the Participant's responsibility and may be deducted from the refund amount. Move to Clarity is not responsible for delays caused by the Participant's bank or payment provider.
6. Cancellation of the Program by Move to Clarity
If Move to Clarity cancels the Retreat because the minimum enrollment described in Section 4 is not reached, or for any other reason within Move to Clarity's control, each Participant will receive a refund of 100% of the total amount they have paid, with no amount retained by Move to Clarity.
Refunds under this Section will be paid within 14 business days of the cancellation notice, to the original payment method. As stated in Section 5, no credit notes or rollovers are offered in place of this refund.
If the Retreat is cancelled due to Force Majeure, Section 9 applies instead of this Section.
Because Participants pay the full Program fee upfront (Section 3), Move to Clarity holds these funds directly and its ability to meet the refund windows in this Section does not depend on first recovering money from Al Badayer Retreat or other suppliers.
7. Cancellation by the Participant
If you wish to cancel your own booking, you must notify Move to Clarity in writing at hello@move2clarity.com. Your written cancellation notice is effective on the date Move to Clarity receives it, and the applicable refund depends on how far in advance of the Retreat start date that date falls:
• More than 21 days before the Retreat start date: you will receive a refund of 90% of the total amount paid. The remaining 10% is retained as a non-refundable cancellation/administrative fee.
• 21 days or fewer before the Retreat start date, including no-shows and early departures: you will receive a refund of 70% of the total amount paid. The remaining 30% is retained as a non-refundable cancellation/administrative fee.
This refund schedule applies equally to all cancellations, regardless of reason (including illness, visa denial, or other personal circumstances). Move to Clarity does not offer credit notes, program credits, or the option to apply your payment toward a future retreat as an alternative to the refund schedule above.
Refunds due under this Section will be paid within 14 business days of Move to Clarity's receipt of your written cancellation notice, to the original payment method (see also “Refund method & cross-border payments” in Section 5).
Name changes / substitutions
As an alternative to cancelling, you may transfer your booking to another eligible individual at no charge, provided you notify Move to Clarity in writing no later than 14 days before the Retreat start date, and the substitute participant meets all eligibility requirements and the rooming list requirements in Section 2.
8. Changes to the Program
Move to Clarity reserves the right to make reasonable changes to the Retreat itinerary, facilitators, activities, or room allocation due to circumstances beyond its control (for example, venue availability, facilitator illness, or weather). Minor changes of this kind do not entitle Participants to a refund.
Where a change is material — for example, relocating the Retreat to a different venue, changing the Retreat dates, or replacing the lead facilitator — Move to Clarity will notify Participants in writing and assess appropriate remedies on a case-by-case basis at its discretion.
9. Force Majeure
Neither party is liable for any failure or delay in performance under these Terms resulting from causes beyond its reasonable control, including but not limited to acts of God, natural disasters, war, terrorism, civil unrest, government action or restriction, pandemic, strikes, or venue closure (“Force Majeure”).
If the Retreat is cancelled due to Force Majeure, Move to Clarity will make reasonable efforts to recover and pass on any amounts recoverable from the venue and other suppliers, less costs already incurred and non-recoverable. A full refund cannot be guaranteed in these circumstances.
10. Health, Safety & Assumption of Risk
The Retreat may include physical activities (for example, movement, breathwork, workshops, or desert excursions). By registering, you confirm that you are physically fit to participate and that you have disclosed any relevant medical conditions, allergies, or dietary requirements to Move to Clarity in advance.
Move to Clarity and its facilitators are not medical professionals, and nothing provided during the Retreat constitutes medical, psychological, or therapeutic advice. Participation in all activities is voluntary. You are strongly encouraged to consult your own physician before attending, and to obtain your own travel and medical insurance prior to the Retreat, as none is included in the Program fee.
11. Limitation of Liability
To the maximum extent permitted under UAE law, Move to Clarity's total liability arising out of or in connection with the Retreat shall not exceed the total amount paid by the Participant for the Program. Move to Clarity is not liable for any indirect or consequential loss, including loss of enjoyment, missed travel connections, or personal belongings. Nothing in these Terms excludes or limits liability that cannot be excluded under applicable law, including liability for death or personal injury caused by negligence.
12. Code of Conduct
Participants are expected to treat facilitators, staff, venue personnel, and fellow Participants with respect. Move to Clarity reserves the right to remove any Participant from the Retreat, without refund, for behavior that is abusive, unsafe, or otherwise disruptive to the Program.
13. Photography & Media
Move to Clarity may take photographs or video during the Retreat for marketing purposes. Before the Retreat, each Participant will be asked to review and sign a separate photo and media release form indicating whether they consent to being photographed or filmed, and how their image may be used. Move to Clarity will respect the preference indicated on that form.
14. Data Protection & Privacy
To plan and deliver the Retreat, Move to Clarity collects personal data from Participants, including full name, contact details, passport or Emirates ID details, and dietary or medical information necessary for accommodation, catering, and safety purposes (“Personal Data”). Personal Data is processed in accordance with UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data (the “PDPL”).
• Personal Data is used only for booking administration, rooming, catering, safety, and legal or regulatory purposes — for example, providing a rooming list to Al Badayer Retreat as required under its own booking terms.
• Personal Data is shared only with the venue, other suppliers directly involved in delivering the Retreat, and regulatory authorities where required by law. It is not sold, and is not used for unrelated marketing without your separate consent.
• Personal Data is retained only for as long as necessary to administer the Program and meet legal or accounting obligations, and in any case no longer than [12] months after the Retreat, after which it is securely deleted or anonymized unless a longer retention period is required by law.
• Participants may request access to, correction of, or deletion of their Personal Data by contacting Move to Clarity at hello@move2clarity.com, subject to any legal retention requirements.
15. Governing Law & Disputes
These Terms are governed by the laws of the United Arab Emirates. Any dispute arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of the United Arab Emirates.
